Privacy Policy

Last updated: July 2, 2026

Qolo.Chat (“Qolo”, “we”, “us”) provides a private messaging service for churches and their ministry teams. This policy explains what we collect, why, and your choices.

Who controls your data

Qolo is a workspace product. Your church (the “workspace administrator”) decides who joins and how it’s used; they are the data controller. Qolo processes data on their behalf.

What we collect

  • Account & profile: name, email, role, avatar, optional job title, timezone, custom status, and — for members who sign in with Planning Center — a Planning Center person identifier used to link the account.
  • Content you create: messages, replies, reactions, attachments you upload, saved items, reminders, and notification keywords.
  • Usage & device: presence/last-seen, device type, app version, and a push notification token (if you enable notifications) so we can deliver alerts.
  • Youth safety signals: where a church provides them via Planning Center, grade/birthdate to apply youth messaging guardrails.

We do not sell your data and we do not use it for third-party advertising.

How we use it

To operate the service: deliver messages and notifications, show presence, apply moderation and youth-safety rules, secure accounts, and provide admin tools your workspace relies on.

Sign-in

Members authenticate through Planning Center OAuth. We receive basic identity (name, email, avatar, person id) to create your account. Demo/review accounts may use email + password.

Sharing

Content is visible to members of the channels and direct messages you participate in, and to your workspace administrators for moderation and compliance. We use infrastructure providers (hosting, push delivery via Expo/Apple/Google, link-preview fetching) solely to run the service. We disclose data if required by law.

Retention & deletion

  • Workspace admins can set a message-retention window.
  • You can delete your own account in-app (profile menu → Delete account, or Settings → Delete account). This removes your profile details, wipes your sign-in credentials, ends your sessions, and anonymizes your messages. This is irreversible.
  • To request deletion outside the app, email privacy@qolo.chat.

Your choices

  • Edit your profile, status, and notification keywords in Settings.
  • Turn notifications on/off; set quiet hours.
  • Block another member to stop seeing their messages and receiving their notifications; manage blocks in Settings.
  • Report a message to workspace admins for review.

Children

Qolo is designed for church use that may include minors under adult supervision. Youth guardrails restrict minor-to-adult and minor-to-minor direct messaging per the workspace’s configuration. Churches are responsible for obtaining any parental consent their jurisdiction requires.

Security

Data is encrypted in transit (HTTPS). Sensitive tokens are encrypted at rest. Admin accounts support multi-factor authentication.
